Reports
Build a list of exactly the people you need, like everyone who signed up through one action, and export just the columns you want.
A report is a saved list of people who took your actions. You pick the filters, like "took the KU pledge this month and said yes to texts", and the columns to export. Reports are for Data Admins, and every Data Admin on your team can see and edit them.
Step by step
- Open Reports. Go to Member Data, then Reports, and select Create report. You can also open an action in the page builder and select See who took this. That starts a report already filtered to that action.
- Add filters. Select + Add filter, pick a field, then choose its value. Each filter shows as a chip. A person has to match every chip to be in the list. Select a chip to change it, or its ✕ to remove it.
- Check the count. The number of people updates as you change filters, with the list below it, eight people to a page. Select a member to open their details, the same panel as on Members. If no one matches, the report tells you which filter is removing the most people.
- Choose your columns. Tick the columns you want in Columns and use the arrows to order them. Only these go in the export.
- Save the report. Give it a name and select Save. It now shows in your Reports list for the rest of your team.
- Export. Select Export, check what's in the file, then select Download. You get a spreadsheet file (CSV) with one row per person.
What you can filter on
-
Actions. Which action someone took, its type, its campaign, when they took it, and how many times. Filters on the same action describe the same completion. "Took the pledge" plus "SMS consent is Yes" means they said yes on that pledge, not on some other form.
-
Form answers. SMS consent, whether a phone number was given, and zip code.
-
Activity. Daily check-ins and the current check-in streak, rewards redeemed (any reward or the ones you pick) and points spent, quests finished, photos and videos posted, remixes posted, reactions (including reactions to livestream comments), kudos given and received, shares, pins, badges earned, chat messages, livestream comments, tier bonuses and Squad bonuses collected, posts allowed on the wall or to be reposted, "I posted it" claims, campaign chats muted, times they unfollowed your organization or unpinned a campaign or action, and the contacts a member reached out to through Text a Contact (by text, call or share), with how many they marked a success. Chat messages and reactions in chat count only in your campaign chats, not your organization-wide chat, and messages count from October 2026. Each one is a count, like "Daily check-ins at least 3 times in the last 30 days". Choose exactly 0 to find people who never did it.
-
Email. Emails received counts the emails we sent a member, like new reward and new campaign emails, plus Daily Digests, Weekly Recaps, We Miss You, Streak Warning, Reward Confirmed, Weekly Campaign Report and Tier Reset emails. Reward Confirmed and Weekly Campaign Report emails count only for your own store and campaigns. The rest of those belong to the member's account, not one organization, so they show only for members who joined through your organization. For anyone else, only emails sent for your organizations are counted, and a condition on account-wide types alone matches no one. Pick one or more email types to count only those, or leave them unticked to count all. Opened emails and Clicked emails count how many of those emails a member opened or clicked a link in, counting each email once however many times it was opened. A click counts as an open too. They follow the same rules and email type picker as Emails received. Opens are approximate, because some mail apps hide them and Apple Mail opens can't be counted. Counting starts from when we began tracking, so earlier emails show no opens or clicks. The Emails opened and Emails clicked columns show the same counts. Unsubscribed from finds people who turned off a type of email in their notification settings (Daily Digest, Weekly Recap, Event Emails, We Miss You, New Follower, Pinned Action Completed or Org Updates). Choose is for people who turned off any of the types you pick, or is not for people who kept all of them on.
Dates and "in the last N days" use Pacific time, the same day boundary as weekly levels.
- Member. Whether the person has an account, when they joined, their first campaign, their level, points earned on these campaigns, when they were last active (their latest action, or anything else they did on your campaigns and organizations, like a check-in, a comment or a reward), whether they follow your organization, how many followers they have and how many people they follow, whether they get updates from organizations (their Org Updates setting, which your new reward and campaign emails follow), whether they came from a contact list you uploaded, and whether they're banned from chat.
- Sharing. Who referred them, how many people they brought in, and how many actions their share link drove.
Activity counts only what happened on the campaigns and organizations the report covers, the same way actions do. Followers, following, Org Updates and Unsubscribed from belong to the member's whole account, not to an organization. They're blank for someone you can see only because they took action on your campaigns after joining through another organization. People without an account have no activity, so activity filters never match them.
Each field can be used once. To pick more than one action, add them to the same Took action filter. Took action is finds people who took any of them. Took action is all of finds people who took every one of them.
Some filters stop making sense next to others, so the list greys them out and says why. Once you've picked an action, for example, its campaign and type are already set. Form answers only exist on actions with a form, like a Sign Up or a petition. When you pick a campaign or an action type first, the action list only shows actions that fit. If a filter can't match anyone next to the others, its chip turns yellow and the reason shows under your filters.
Removed actions
Actions you took off a page still count. They show in the action list marked (removed), so you can still see who took them. An action you deleted stays too, with everything members did through it. It shows as Deleted action if it was deleted before we started keeping action titles.
People without an account
Someone who fills in a form while signed out, like a Sign Up or a petition, still appears in your reports. So does someone a member signed up under their own email: the form is listed as that person, not the member. They show as No account, and the columns that need an account (points, level, joined) are blank. We started keeping these submissions for petitions, events and RSVPs when Reports launched, so earlier ones from those forms aren't listed.
Someone who taps a link or watches a video while signed out has no name or email. They aren't listed, but a report filtered to that action shows how many signed-out completions it had, and how many came through a member's share link. If that person signs in on the same browser within a day, their action moves to their account and counts once, as theirs.
Referrals
When someone takes an action through a member's share link, the member gets credit in Actions driven, signed in or not. People who fill in a form, or who sign up, also count in People brought in. The member's referral points are only paid once the person creates an account. A signed-out action never pays the member who shared the link.
Link visits counts visits to your campaigns through a member's share link. One visit counts per visitor, per member, per campaign, per day, and visitors who aren't signed in count too. Visits are dated by when they happened, so you can filter on them with a date range. A visit doesn't move Last active, since the member wasn't doing anything at that moment. Counting started when this shipped, so earlier visits aren't included. We don't store anything about the visitor, only that the visit happened.
Credit for signed-out actions and forms can't be checked against an account, so each member gets at most 50 of it a day. A member's own actions through their own link never count once they sign in on that browser.
Organizations
Reports only include people you can already see in Member Data. If your organization has chapters, select Organizations at the top of a report to narrow it to one or more of them.
Your admin team
Reports leave out your organization's admins, and Organiz staff, so test accounts don't end up in a list you act on. Turn on Include your admin team above the list to count them. A saved report remembers the switch, so it opens the way you left it. Analytics works the same way. If we can't look up your admin team, the report includes them and says so under the switch.
Exporting
The export matches what you're looking at. Normally it's the list of people, with the columns you chose. With Group by campaign on, it's the campaign summary instead: one row per campaign, with how many people took action there, how many said yes to texts and how many came through someone's link.
Exports stop at 10,000 rows. If a file has email addresses or phone numbers, the export reminds you to share it only with people allowed to contact these members. Every export is logged with who ran it and how many rows it had. A saved report shows its export history.
